4 Powerful Ways to Save Time Invoicing Clients

4 Powerful Ways to Save Time Invoicing Clients

Time is money.

So cliche, but so true.

And the more time you spend on providing your actual service the more money you’ll make.

I’m all about you spending less time on stuff that doesn’t earn you money, like bookkeeping, and admin work.

So what can you do to save yourself time when it comes to invoicing clients?

Turns out there are several shortcuts to save you time and energy every month.

Today we’re talking about tips and tricks to get your Quickbooks Online invoices out faster, but many of the bookkeeping software options on the market have the same or similar functionality.

Define Products and Services

Quickbooks allows you to define products and services.

For example, I have my bookkeeping quarterly review package defined as a service in Quickbooks. Here I can give it a name, a picture, and a set price.

Now I don’t have to type any of that information out again. When I create an invoice I select the service from a drop-down menu and send it off.

Easy as pie!

Recurring Invoices

If you provide a monthly service for your clients I’m sure you understand the annoyance of typing out and sending the same invoice month after month after month after month.

Ugh!

Enter the recurring invoice. Quickbooks allows you to create a recurring invoice that will automatically create and send an invoice to your client on the schedule you choose.

All you have to do is sit back and get paid, well and do the actual work you’re being paid for of course.

But no more spending time creating the same invoice over and over. You can find that feature on the bottom of invoice creation screen.

Emailing Invoices

Thank goodness for paperless billing!

Quickbooks allows you to email your invoices directly to your clients.

No more printing and mailing, or downloading and attaching.

It can all be done from right inside Quickbooks.

All you have to do is add your client’s email address to their contact info and you’re good to go!

Combine this with recurring invoices and you literally never have to touch the process again!

QuickBooks Payments

Last but not least, Quickbook payments.

Quickbooks isn’t just abookkeeping software, it can also be used as a payment processor.

When you email your client that recurring invoice (using your defined products and services and emailing directly to your client, of course) they have the option of paying directly from the email.

A couple quick clicks from them and the invoice is paid. No manual processing of payments, linking to services like PayPal, or matching the invoice to the payment,

Quickbooks takes care of all that fun stuff for you. If this is an option for you then you’ll see this at the top of your invoice.

Simple, right?

Now that you’ve saved a bunch of time on invoicing your clients what are you going to do with it?

You’ll find me cruising through a Harry Potter marathon with my new pup Ginny. Yes, like that Ginny. Meanwhile, she’ll probably be chasing my cat Winky….yes, another HP reference.

Could I be any nerdier?
